This is a working privacy policy that describes our actual data practices. Before this site goes live in production, this document should be reviewed by counsel familiar with Canadian privacy law (PIPEDA federally, and any applicable Ontario provincial regulations).
1. Who we are
This website is operated by CentreKey Property Management Inc. ("CentreKey," "we," "us," or "our"), a property management company based in Toronto, Ontario. You can contact us at hello@centrekey.com or by mail at our Toronto office.
2. What information we collect
We collect personal information in two situations:
2.1 — When you submit a form
Our forms (free evaluation, owner inquiry, realtor referral, general contact) collect: your name, email address, phone number, brokerage (for realtors), property address (for owner inquiries and evaluations), and any free-text message you provide. Submission is voluntary; you provide this information so we can contact you about our services.
2.2 — When you simply visit the site
We use Google Analytics 4 and Cloudflare Web Analytics to understand how visitors use the site. These tools collect: pages visited, approximate location (city-level), device type, browser, referring source, and anonymized IP address. We do not use these tools to identify individual visitors.
3. How we use your information
- To respond to your inquiry and provide the requested information or services
- To prepare a rental evaluation or proposal at your request
- To send service-related communications (statements, notices, lease documents, etc.) if you become a CentreKey client
- To improve our website and services based on aggregate visitor analytics
- To meet our legal and regulatory obligations under applicable Ontario and federal law
We will not use your information for advertising or share it with third parties for marketing purposes.
4. Where your information is stored
Form submissions are processed by our website hosting provider (Cloudflare Pages, Inc.) and our email service provider (Resend, Inc.) on infrastructure located in Canada and the United States. Both providers are bound by their own privacy commitments. By submitting a form, you consent to your information being processed in those jurisdictions.
Active client data is held in our internal client management systems, which are accessible only to authorized CentreKey personnel.
5. How long we keep it
- Inquiries that don't become clients: we retain your inquiry for up to 24 months and then delete it.
- Active clients: we retain client records for the duration of our service agreement plus the period legally required to retain financial and tax records under Canadian law (typically seven years from the most recent transaction).
- Analytics data: retained according to our analytics providers' default settings (Google Analytics: 14 months by default; Cloudflare: 6 months).
6. Your rights
Under PIPEDA and applicable Ontario law, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent for our use of your information
- Request deletion of your information, subject to our legal record-keeping obligations
- File a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca) if you believe your rights have been violated

7. Cookies
This site uses cookies for two purposes: (1) Google Analytics 4 sets cookies to measure aggregated site usage, and (2) Cloudflare may set cookies for security and performance optimization. We do not use advertising or tracking cookies. You can disable cookies through your browser settings; some site features may not function correctly without them.
8. Children's privacy
This website is intended for adults considering property management services. We do not knowingly collect information from children under 18.
9. Changes to this policy
We may update this policy as our services or applicable law change. The "last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated to active clients via email.
